Executive Vice President

We are seeking a dependable and highly organized Executive Admin to join our construction team. As an Executive Admin, you will play a crucial role in supporting the executive team and ensuring the smooth operation of daily activities. This is an exciting opportunity for an individual who thrives in a challenging environment and is enthusiastic about the home-building industry.

  • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and making travel arrangements.
  • Serve as a point of contact for internal and external stakeholders, relaying messages, and inquiries to the appropriate parties.
  • Prepare and proofread documents, reports, and presentations on behalf of the executive team.
  • Assist in the preparation of documents and presentations for meetings and conferences.
  • Conduct research and compile data for various projects.
  • Coordinate and organize internal and external meetings, including preparing agendas and taking meeting minutes.
  • Manage and maintain confidential and sensitive information.
  • Oversee incoming and outgoing mail and other correspondence.
  • Manage and update databases and filing systems.
  • Assist in the coordination of special projects and events.
  • Ensure all administrative operations are efficient and in line with company policies and procedures.
  • Assist with budgeting and expense tracking.
  • Review and process contracts, change orders, and amendments.
  • Update sales and closing reports.
  • Work with lenders and appraisers; schedule closings with Title company.
  • Review plans and verify pricing is consistent with contract documents.
  • Update lot list and lot availability.
  • Create customer files, and binders and Update customer information in Buildertrend.
  • Update all contract documents.
  • Manage builder licenses and memberships and verify they are current and up to date.
  • Assist with website, IT maintenance, and marketing when necessary.
  • Review custom bid packages before releasing them to the Pricing Manager.
  • Produce, implement, and track customer selection amendments and change orders throughout the new construction and renovation processes.
  • Perform related work as required.

  • The ability to multitask and prioritize workload effectively.
  • Excellent organizational and time management skills.
  • Strong attention to detail and high level of accuracy.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills.
  • Exceptional customer service and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive and resourceful critical thinking skills.
  • A minimum of 3 years of experience in an administrative role.
  • Knowledge of the construction industry methods and processes is encouraged.
  • Strong work ethic and a positive, can-do attitude.
  • Flexibility to adapt to changing work priorities and demands.
  • A bachelor’s degree in business administration or a related field is an asset but not a requirement.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Possess teamwork qualities.
